Common Pricing Models

1. Per-Employee, Per-Month (or Per-Pay-Run) Fee

This is the most common model. The provider charges a base fee, plus an additional fee for each employee processed in a given pay period. For example, a provider might charge a R500 base fee + R80 per employee, per month.

2. Sliding Scale Model

  • 1-10 Employees: A fixed base rate often applies to cover the core service for very small teams.
  • 11-50 Employees: The per-employee rate drops.
  • 51+ Employees: The rate drops even further, rewarding you for your growth.

What's Typically Included in the Price?

When you're comparing quotes, it's crucial to know what's included. A reputable provider should, at a minimum, include the following in their standard fee:

  • Salary & Wage Calculation: Including overtime, bonuses, and commissions.
  • Deductions Management: Correctly calculating PAYE, UIF, and other statutory or voluntary deductions.
  • Payslip Generation: Providing professional, easy-to-understand payslips for each employee.
  • Monthly Submissions (EMP201): Filing your monthly declaration with SARS.
  • UIF Declarations: Submitting your monthly UIF data to the Department of Labour.
  • Standard Reporting: Access to key reports like payroll summaries.

Watch Out for Hidden Costs

Always ask about potential extra fees. Some things that might cost extra include:
